Eco-Schools Platform Data Privacy Policy

The Foundation for Environmental Education is committed to respecting and protecting your personal data. In compliance with the EU General Data Protection Regulation 2016/679 (hereinafter ‘GDPR’), and the UK General Data Protection Regulation (UK GDPR) this privacy statement sets out the basis on which we will process any personal information that we may collect about you. We, therefore, ask you to read this privacy statement carefully. 

The Foundation for Environmental Education is committed to protecting your personal information, we collect only the personal information needed to interact with you, as evidence for the work you do to promote environmental education or that we are required to collect by law, and we take all the relevant protection measures. Should you submit a request to withdraw your consent for the retainment of personal information, your request will be dealt with within a month’s time and your data will be deleted without undue delay, as established by GDPR, Art. 17. 

1. The information we collect about you and why 

The Foundation for Environmental Education may collect personal information from you during your registration as an Eco-Schools coordinator or during your work on the Eco-Schools related activities. ‘Personal Information’ is information that identifies you as an individual or relates to an identifiable person. Such as your name, organisation name (if applicable), email address, phone number, postal address, your photo. 

We may collect and store personal information 

·       That you give the Foundation for Environmental Education by  using our school platform, our website, subscribing to the FEE Academy, subscribing to newsletters, and contacting us.  

·       That our platform collects your activities for statistical purposes, for instance marketing research. This statistical data helps us to monitor the effectiveness of our activities. 

By submitting personal information through our website related to other people, you confirm that you have the authority to do so and that they consent with the use of their personal information in accordance with this Data Privacy Policy. 

Why we collect personal information  

We collect only the personal information necessary to interact with you, as evidence for: 

  • Processing your Eco-Schools Green Flag application and other FEE initiatives  

  • Communication purposes- website content, sending newsletters, social media campaigns, publications, videos and other relevant programme information  

  • Statistics and research to evaluate programme impact and improve effectiveness  

  • Activities-related updates required by law 

Legal basis for processing personal information  

  • When you opt in to receive communications, submit photographs, or register for programmes. 

  • When data processing is required for the fulfilment of an agreement (e.g., Green Flag applications). 

  • When necessary for our organisational objectives, provided that your rights do not override these interests. 

  • When compliance with legal or regulatory requirements mandates data collection or retention. 

Your personal information may be disclosed: 

To our service providers who provide website hosting, data analysis, information technology and related infrastructure provision, customer service, email delivery, auditing, and other similar services. These service providers are bound by contractual obligations to keep your information confidential. We do not transfer your data to third parties except as necessary for these purposes. 

We do not sell your personal data.

If your data is transferred outside the EU or UK, we ensure appropriate safeguards are in place, or reliance on countries with adequacy decisions. 

In the event of a data breach that is likely to result in a high risk to your rights and freedoms, we will notify you and the relevant supervisory authority without undue delay. 

Should you submit a request to withdraw your consent for the retention of personal information, your request will be dealt with within one month, and your data will be deleted as soon as possible. Such a request may be submitted to the National Operator of your Country. 

Please note, however, that we may not be able to erase personal data that has already been included in printed materials or that has been published and shared on social media or other public platforms. In such cases, the data subject acknowledges that complete erasure may not be feasible due to the nature of distribution. This limitation is in accordance with Article 17(3) of the General Data Protection Regulation (GDPR), which outlines exemptions to the right to erasure. 

 

2. For how long we intend to retain your data 

FEE is committed to maintaining accurate and up-to-date records of your personal information. We will retain your data for the purposes of verification (e.g., Eco-Schools Green Flag applications), communication and engagement, research, and statistical analysis only for as long as it is necessary for these purposes. 

Personal data will be retained for as long as the user remains active on the FEE platform. If a user becomes inactive, their data will be deleted after one year of inactivity unless a request for earlier deletion is made, or unless we are legally required to retain it for a longer period. 

In certain cases, where personal data contributes to the public interest—such as documenting the impact of environmental education programs (e.g., Eco-Schools case studies, reports) within global frameworks like the Greening Education Partnership (GEP) or the UN Decade on Ecosystem Restoration—we may retain this information for an extended period. However, such data will be processed and stored in compliance with GDPR requirements, ensuring that privacy rights are upheld. 

3. System information we may collect from you and how we use it 

Through Google Analytics or other data collection services, we collect system information for administration and statistical purposes. System information refers to data such as information about your computer or device, including your IP address. 

4. Your rights 

The GDPR provides the following rights for individuals: 

  • You have the right to be informed and to get access the personal information

  • You can require any inaccurate personal information to be corrected, or you can require that we delete information about you

  • You can object to our use of your personal information for direct marketing purposes at any time and you have the right to object to our processing of some or all your personal information and require them to be deleted

  • The right to data portability

If you would like us to remove your information from our platform, you can contact the Eco-Schools national operator in your country. 

You can also request the removal and correction of your data, or lodge a complaint about our processing of your personal information with the body regulating data protection in your country. 

 5. Third party disclaimer 

We are only responsible for the personal information we collect. We do not transfer data to third parties, besides data that is automatically processed by service providers as mentioned above. 

This Privacy Policy does not address, and we cannot be held liable for the data protection practices of any third parties, including social networks, third parties operating our tools and website, or third parties to which the platform links. 

6. Children’s Data Protection 

If we process data related to children under 16, we ensure appropriate parental consent is obtained. We take extra precautions to protect children’s data in compliance with UK and EU GDPR guidelines.
